Refund & Cancellation Policy

The Plain-English Summary

We want every developer and community to have a transparent, risk-free experience with WilBot. WilBot does not engage in surprise recurring billing or hidden subscription traps. If an entitlement fails to activate, if you experience an unresolved platform service fault, or if you change your mind within your statutory 14-day cancellation window, we will work with you to make it right—whether through a full monetary refund, subscription tier extension, or creator unit restoration.

How Paid Access & Entitlements Work

WilBot provides a comprehensive free tier for conversational AI, full-stack coding assistance with WilBotCode, and Discord community moderation. Optional paid upgrades—including expanded daily Creator Unit limits, priority frontier AI model routing, and dedicated support—can be arranged through authorized platform checkout or our official community server.

  • No Hidden Recurring Subscriptions: We do not silently convert one-time creator unit top-ups into recurring monthly charges without explicit, affirmative consent.
  • Upfront Pricing & Confirmation: You will always receive a clear pre-purchase summary detailing the plan tier, billing duration, included units, and total cost before completing any transaction.
  • Secure Payment Processing: WilBot does not store your credit card numbers, CVVs, or online banking passwords on our servers. All transactions are handled by certified, PCI-DSS compliant payment gateways.

14-Day Statutory Consumer Cancellation Rights

If you are a consumer residing in the United Kingdom, the European Union, or any jurisdiction granting statutory distance-contract cancellation rights (under the UK Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 and Directive 2011/83/EU):

  • 14-Day Cooling-Off Period: You hold the legal right to cancel your purchase within fourteen (14) calendar days of transaction completion without providing a reason.
  • Digital Content Supply & Immediate Performance: Under statutory consumer regulations, when you request the immediate activation and delivery of digital creator units or premium AI features during the 14-day cancellation window, you acknowledge that your cancellation rights may be adjusted once full performance has begun.
  • Fair Pro-Rata Refunds: Even after digital performance has commenced, if you determine that WilBot or WilBotCode does not meet your development needs within the 14-day window, we provide fair, pro-rata refunds based upon unused Creator Unit balances and remaining subscription days.

Platform Service Faults, Outages & Restorations

We stand behind the engineering excellence of WilBot and WilBotCode. If you encounter any of the following technical issues:

  • An entitlement, Discord premium role, or tier upgrade fails to activate on your server or account after verified payment confirmation;
  • Persistent, material service outages attributable to WilBot infrastructure that prevent you from utilizing paid computational quotas;
  • Duplicate charges or erroneous payment gateway processing errors;
  • Unrecoverable model inference failure loops where Creator Units were consumed without returning code or prompt output.

Following prompt verification, our support desk will provide your choice of remedy:

  • Full Monetary Refund: Reimbursing the full transaction amount via your original payment method;
  • Subscription Tier Extension: Adding complimentary days or weeks to your active tier to compensate for platform downtime;
  • Creator Unit Restoration: Immediately re-crediting any lost or degraded computational units directly to your account.

Promotional Bounties, Top.gg Rewards & Free Units

WilBot features multiple engagement incentives, including the 30-Day Server Owner Perk Bounty (granted when adding WilBot to an eligible Discord server) and Top.gg Upvote XP Rewards (+500 XP per vote).

  • Promotional allowances, free starter units, and community bonus units have no cash value.
  • Promotional grants are non-transferable and are not eligible for cash refunds, trade-ins, or monetary credits.
  • We reserve the right to revoke promotional perks if botting, vote-rigging, or fraudulent abuse is detected.

Chargeback Guidelines & Direct Resolution

We strongly encourage users to contact our billing team at [email protected] before initiating a bank chargeback or payment gateway dispute. Most billing inquiries, accidental purchases, and entitlement issues are resolved within 48 business hours.

Initiating an unannounced chargeback may cause automated payment fraud systems to place a temporary security hold on your WilBot account and associated Discord guild integrations pending investigation.

How to Submit a Refund or Entitlement Claim

To submit a cancellation, refund request, or billing inquiry:

  1. Send an email to our dedicated billing desk at [email protected].
  2. Include your Discord username or User ID, transaction reference or receipt number, date of purchase, and a brief description of the request.
  3. Our billing support team will review your account logs and respond with a formal resolution within 48 business hours.

Statutory Rights Preserved

Nothing in this policy limits, restricts, or excludes any mandatory consumer rights that you hold under the UK Consumer Rights Act 2015, the Consumer Contracts Regulations 2013, or applicable consumer protection legislation in your jurisdiction of residence.
